2. Personal data processed

When registering for the Event, we may collect the following personal data:

  • Identification and contact details (name, surname, adress, email, phone number)

  • Documentation details (ID/Passport number)

  • Travel and accommodation details necessary to manage your stay

  • Event-related information strictly required for organisation purposes

No special categories of personal data (such as health data) are requested or processed.

3. Purpose and legal basis of processing

Personal data are processed for the following purposes:

a) Event registration and attendance management
To manage your registration, confirm your participation, organise logistics and provide essential information related to the Event (agenda, venue, schedule, practical details).
Legal basis: performance of a contract or pre-contractual measures.

b) Accommodation management
To manage hotel bookings and accommodation logistics related to the Event.
Legal basis: performance of a contract or pre-contractual measures.

c) Legal compliance and claims management
To comply with legal obligations and manage potential claims.
Legal basis: legal obligation and/or legitimate interest.

Personal data will not be used for marketing purposes, future events or post-event communications unrelated to the Event.

4. Data recipients

Personal data may be shared only where strictly necessary with:

  • Hotels and accommodation providers, exclusively for managing your stay

  • Mailchimp, used to send essential Event-related communications (agenda, dress code, logistical information)

  • Public authorities or courts, where legally required

UAY EVENTOS Y COMUNICACIÓN, S.L. acts as the entity responsible for collecting and managing registrations. Personal data are not shared with Dermofarm unless strictly necessary for Event organisation.

5. International data transfers

Mailchimp may process data outside the European Economic Area (e.g. the United States). Such transfers are carried out using appropriate safeguards, including Standard Contractual Clauses, in accordance with applicable data protection regulations.

6. Data retention period

Personal data will be retained only for as long as necessary to manage the Event and related logistics.
As a general rule, personal data will be deleted or anonymised within six (6) months after the Event, held in May 2025, unless a longer retention period is required by law.

7. Data subject rights

You may exercise your rights of access, rectification, erasure, objection, restriction of processing and data portability by contacting rgpd@ferlicomgroup.com, indicating “Data Protection – Rights Request” in the subject line.

You also have the right to lodge a complaint with the Spanish Data Protection Authority (Agencia Española de Protección de Datos).

Appropriate technical and organisational measures are applied to ensure the security, integrity and confidentiality of personal data.
